Organization-Level Reports

Download reports that help you gauge your team's performance and keep your operations organized.

Organization reports are a high-level look at staff activity. As a best practice, we recommend that you filter organization-level reports by opportunity and date. At the top of this page, in the Filter the Reports section, click Opportunity, Date, or both.

View and Download Reports

You can view, filter, and download many types of organization-level reports. 

Tip: As a best practice, we recommend that you filter organization-level reports by opportunity and date so you get the exact information you need. For example, if you have an opportunity that occurs every year and you want a report for that opportunity over the last three years, you can do that with filters.

To view a list of organization-level reports and to download reports:

  1. Go to your organization
  2. Click Reports & Imports icon_reports.
  3. To add filters, in the Filter the Reports section, click Opportunity, Date, or both
  4. To download a report, click Download.
    A .CSV file downloads to your computer.

Hours Worked Reports

Hours Worked reports are organized by these categories:

  • Hours Worked Across Organization
  • Hours Worked by Opportunity
  • Hours Worked by Staff
  • Hours Worked by Venues
  • Hours Worked by Tags

Reports in the Hours Worked Across Organization and Hours Worked by Opportunity categories start on the first date of the earliest Hours Worked entry.

In the Hours Worked section, click the drop-down list to select a category.

Use these reports to track your organization’s overall performance and to identify any weak areas. Reports begin on the date of the earliest hours worked entry.

Hours Worked Across Organization (High-Level Summary Report)

This high-level report shows the total number of hours worked by each staff member across your entire organization. Before you download the report, select the time range for data: Total (all time), year, month, week, or day. 

Value of Hours Worked Across Organization

This high-level report shows the monetary value of the hours worked by each staff member across your entire organization. Before you download the report, select the time range for data: Total (all time), year, month, week, or day.

Hours Worked By Opportunity

Hours Worked By Opportunity (High-Level Summary Report)

This report shows the total number of hours worked in each opportunity. Before you download the report, select one of these options: Total, Total by Year, Total by Month, Total by Week, or Total by Day.

Hours Worked By Opportunity (Mid-Level Report)

This report shows the how many times each volunteer worked for an opportunity, how many hours each volunteer contributed to an opportunity, and check-in information.

Hours Worked By Staff

Hours Worked by Staff (High-Level Summary Report)

This high-level report includes the total accumulated Hours by each individual Staff Member. Customize how you want the report columns to display the accumulated data: by Total, Total by Day, Total by Week, Total by Month, or Total by Year.

Value of Hours Worked by Staff (High-Level Summary Report)

This high-level report includes the monetary value of the total hours accumulated by each individual Staff Member. Customize how you want the report columns to display the accumulated data: by Total, Total by Day, Total by Week, Total by Month, or Total by Year.

Hours Worked by Staff (Mid-Level Report)

This mid-level report breaks down the total accumulated Hours by each individual Staff Member, and outlines the total amount of Entries, the Entry Style (ie. Shift Check-in, General Check-in, Hours/Minutes vs Start/End Time, etc) and the total hours per Entry Style.

Hours Worked by Staff (Deep-Level Logs)

This is a master Log that breaks down each Hours Worked entry by individual Staff Member and gives an overview of all the activity. The report outlines the total hours per entry, Entry Style (Number vs Start/End Time), Check-in Type (Shift vs. General), and who it was actioned by.

General Check-in/out by Staff

This Log includes timestamps of General Check-in activity only (it does not include Shift Check-in/out Activity). The Log reports who took the action, and calculates the total hours between the first and last Check-in.

Shift Check-in/out by Staff (Deep-Level Logs)

This Log includes timestamps of Shift Check-in activity only (it does not include General Check-in/out Activity). The Log reports who took the action, and calculates the total hours between the first and last Check-in against a Shift.

Hours Worked By Venues

Hours Worked By Venues (High-Level Summary Report)

This report shows the total number of hours worked at each venue. Before you download the report, select one of these options: Total, Total by Year, Total by Month, Total by Week, or Total by Day.

Hours Worked By Venues (Mid-Level Report)

This report shows how many times each volunteer worked at each venue, how many hours each volunteer contributed at each venue, and check-in information.

Hours Worked By Tags

Hours Worked By Tags (High-Level Summary Report)

This report shows the total number of work hours associated with a certain tag. Before you download the report, select one of these options: Total, Total by Year, Total by Month, Total by Week, or Total by Day.

Hours Worked By Tags (Mid-Level Report)

For each tag, this report shows how many times each volunteer worked, how many hours each volunteer contributed, and check-in information.

Contributions

You can use Contributions reports to measure recruitment levels.

Total Contributions (High-Level Summary Report)

This report includes the total number of contributions across your entire organization, grouped by the selected time period: Total (lifetime), year, month, week, or day.

First-Time Contributions (High-Level Summary Report)

This report includes the total number of first-time contributions across your entire organization, grouped by the selected time period: Total (lifetime), year, month, week, or day.

Average Contributions (High-Level Summary Report)

This report includes the average contribution time (in decimal hours) across your entire organization, grouped by the selected time period: Total (lifetime), year, month, week, or day.

Active Status

Active Contribution Status (High-Level Summary Report)

This high-level report includes the active status activity across all users based on the Active Contribution Status setting timeline. This report gives an overview of Turnover/Lapsed (users who became inactive), Retained (users who stayed active), Re-Engaged (users who became active), and Disengaged (users who stayed inactive).

Customize how you want the report columns to display the accumulated data: by Total, Total by Day, Total by Week, Total by Month, or Total by Year.

Active Contribution Status (Deep-Level Logs)

This log that breaks down each status change by individual Staff Member and gives an overview of all the activity. Each report breaks down the status change. Select Only Disengaged (Stayed Inactive).

Download any of these deep-level logs:

  • All logs (timeline of changes) — Volunteers whose contribution status changed during the selected time period. Shows the status change and date of the change.
  • Only disengaged — Volunteers who stayed inactive during the selected time period
  • Only retained — Volunteers who stayed active during the selected time period
  • Only re-engaged — Volunteers who became active during the selected time period
  • Only turnovers/lapsed — Volunteers who became inactive during the selected time period

Note: Active Status reports show data for only the time period you specify in the Active Contribution Status settings. You can temporarily change this time period to view data for a certain date range. For more information, view Change the Active Contribution Status Time Period. The Date filter in the Filter the Reports section does not apply to the deep-level logs. 

Tags

Tag Assignments (High-Level Summary Report)

This high-level report includes the total amount of Category Tags assigned to Users, Opportunities and Shifts

Staff with Tags (Mid-Level Report)

This mid-level report breaks down the Staff that had the Tags at any point during the selected date range.

Opportunities with Tags (Mid-Level Report)

This mid-level report breaks down the Opportunities that had the Tags at any point during the selected date range.

Shifts with Tags (Mid-Level Report)

This mid-level report breaks down the Shifts that had the Tags at any point during the selected date range.

Availability

Availability by Staff (Mid-Level Report)

This mid-level report includes all Staff Availability, broken down by the days of the week. If Staff have filled in their Availability, the report will display two rows for each individual, depicting their Available and Unavailable time blocks. If Staff have not filled in their Availability, the report will display one row for each individual and there will be no data populated.

Communication

Sent Email Communications (Mid-Level Report)
This mid-level report includes all of the sent email messages and includes the total Staff it was sent to, the Total messages Delivered, and the total messages that Bounced.

Sent Email Communications (Deep-Level Logs)
This log breaks down sent email messages by each receiver and indicates the Delivery Status for tracking Bounces.
