Manage Tags

Tags are custom labels that can be assigned to volunteers, shifts, or opportunities to help you group, categorize, and filter. You can use tags to filter lists and create reports.

Tags can be created at the organization level or the opportunity level. Tags that are created at the organization level can be assigned to any opportunities, volunteers, and shifts. New opportunities automatically inherit tags from the organization level, but organization-level tags cannot be edited from within an opportunity.

Tags created within an opportunity can only be used in that opportunity. When you copy an opportunity, you can choose to copy its tags as well.

Create Tags and Categories

Categories are groups of tags that share common themes. Every tag must belong to a category. Categories must have unique names. You can create an unlimited number of tag categories, and an unlimited number of tags in each category.

To create categories and tags:

  1. At either the organization or the opportunity level, click Tags.
  2. On the Tags page, click +Categories.
  3. Enter a name and nickname for the category. The category nickname is visible only to administrators, and is used for tasks such as reporting and filtering.
  4. In the Allocated Tags drop-down list, select whether volunteers should be able to select only one tag from this category, or multiple.
  5. In the Volunteer Visibility drop-down list, select whether the category and its tags should be visible to volunteers or hidden.
    1. Hidden categories and tags are not visible to volunteers, and are only used for internal tracking purposes.
    2. Visible categories and tags can be seen by volunteers. Volunteers can also use visible tags to filter for shifts and opportunities.
      Note: Visible tags cannot be assigned to volunteers.
  6. In the Create Tags section, enter the name of your first tag.
  7. (optional) To create another tag, click Add Another Tag to open a new text box, and enter the name of the new tag. Repeat this step to add as many tags as you need.
  8. When you are finished, click Save.

Tip: You can create multiple tags at once by pasting a list of tags into the tag name box. Each tag must be separated by a comma or a space.

Import and Export Tags

Click Export to .CSV to export your tags to a comma-separated value file (.CSV file). This lets you back up your tags, import them into an opportunity, or transfer them to another organization.

To import tags from a .CSV file, click Import From .CSV.

Apply Tags to Opportunities

Apply tags to opportunities to provide information about the opportunity to administrators and volunteers.

From the Organization Level

You can apply tags to one or more opportunities at once from the organization level.

To apply tags to one or more opportunities from the organization level:

  1. In the organization, click Opportunities.
  2. Use the checkboxes next to each opportunity to select one or more opportunities.
  3. Click Take Action.
  4. Click Assign/Remove Tags.
  5. Select the tags to apply to the selected opportunity or opportunities, then click Save.

From the Opportunity Level

You can apply one or more tags to an opportunity from within the opportunity itself.

To apply tags to an opportunity from within the opportunity itself:

  1. In the opportunity, click Recruitment to go to the Recruitment page.
  2. On the Recruitment page, in the Public Page Toolbox section, click Tag Opportunity.
  3. Select the tags that you would like to apply to the opportunity, then click Save.

Apply Tags to Shifts

Tags can provide additional information about shifts, which helps volunteers select the right shifts for them.

To apply tags to a single shift, go to the shift’s Shift Details page, then click Add Tags to This Shift.

To add tags to multiple shifts at once:

  1. Go to the opportunity’s Schedule page.
  2. Select one or more shifts using the checkboxes next to each shift.
  3. Click Take Action.
  4. Click Bulk Add/Remove, then Tags.
  5. Select the tags to apply to the selected shift or shifts, then click Save.

Note: You can assign hidden tags to shifts. Volunteers cannot see hidden tags or use them to filter shifts. Volunteers can only see and filter shifts by tags that are set to visible.

Apply Tags to Volunteers

To apply tags to volunteers, go to the volunteer’s profile and click Tags.

  • For categories that support only one tag at a time, use the drop-down list to select a tag.
  • For categories that allow multiple tags at a time, select tags from the list.

When you are finished, click Save.

Hidden categories and tags are visible only to administrators, and can be assigned to users, shifts, and opportunities. These tags are useful for a variety of internal tracking purposes.

These categories and tags are visible to volunteers, and can only be assigned to shifts and opportunities. Volunteers can use visible tags to filter shifts and opportunities. Use visible tags to provide useful information to help volunteers select the right shift and opportunity for them.
